
Booking Terms

These Booking Terms apply to services provided by Melissa Klein ABN 37 805 832 752 trading as The Printed Edition (“The Printed Edition”, “we”, “us” or “our”).
By accepting a quote, paying a booking deposit or instructing us to begin work, you (“the client”, “you” or “your”) agree to these Booking Terms.
1. Our services
The Printed Edition creates custom-designed, professionally printed magazines using photographs, information and other material supplied by the client.
Each edition is individually designed.
2. Reserving your edition
To request an edition, you must complete the reservation form and pay the $150 booking deposit.
Payment of the deposit reserves a provisional place for your project in our design calendar. We will review the information provided and contact you to confirm your package, project scope and anticipated timeframe.
Your preferred completion date is not guaranteed unless we confirm it in writing. Turnaround periods begin only after all required photographs, questionnaire responses and other project material have been received.
If we are unable to accept your project or meet an essential deadline disclosed in your reservation form, we will notify you and refund your deposit in full.
Where a project falls outside our standard packages, we may provide a custom quote for your approval before commencing work.
3. Booking deposit
A booking deposit of $150 is required to reserve time for your project. The deposit will be deducted from your final package price.
Once we have reviewed and confirmed your booking, the deposit compensates us for reserving design capacity, project administration and initial preparation. If you later cancel, the deposit will be retained to the extent reasonably necessary to cover work performed, reserved capacity and costs incurred.
The deposit will be refunded if we cannot accept or complete your booking, unless we agree with you to postpone or reschedule the project.
Nothing in these terms limits any rights or remedies you may have under the Australian Consumer Law.
4. Prices and payments
All prices are stated in Australian dollars and include GST, where applicable.
The package price and any approved additional charges will be confirmed before work begins. Unless otherwise agreed in writing:
• The $150 booking deposit is payable when you submit your reservation request.;
• additional services or changes outside the selected package will be quoted separately; and
• the remaining balance must be paid before the final magazine is sent to print.
We may pause design, proofing or printing if an amount is overdue. Any delay caused by late payment may affect the estimated completion date.
5. Providing your content
You are responsible for providing the photographs, names, dates, stories, captions, questionnaire responses and other material required for your edition.
You agree to:
• provide complete and accurate information;
• clearly identify important names, spellings, dates and relationships;
• provide photographs at the highest available resolution;
• respond to questions and proofing requests within a reasonable timeframe; and
• inform us of any firm deadline before confirming your booking.
Design work and turnaround times begin only after we have received all required content and the initial payment.
If content is supplied late, gradually or in substantially different quantities from those originally discussed, we may revise the project timeline or provide a quote for additional work.
6. Permission to use supplied material
You retain ownership of the photographs, written material and other original content you provide.
By supplying material to us, you confirm that:
• you own it or have permission to use and reproduce it;
• you are authorised to provide personal information and photographs relating to other people;
• where children are pictured or identified, you have the permission of their parent or legal guardian where required; and
• our use of the material to design and print your edition will not infringe another person’s copyright, privacy or other rights.
You grant us a limited licence to store, edit, reproduce and provide the material to our printing and service providers solely for the purpose of completing your project.
We will not use your edition, photographs or personal story in advertising, social media, portfolio displays or promotional material without your separate permission.
7. Image quality
We will use reasonable care when assessing and preparing supplied photographs. However, we cannot guarantee perfect reproduction of images that are blurred, compressed, screenshots, downloaded from social media, poorly lit or otherwise low resolution.
Where practical, we will alert you if an important photograph may not reproduce well. If you choose to include it, you accept that its printed quality may be limited.
8. Creative direction and design
Every Printed Edition is custom-designed according to the information, photographs, occasion and style discussed with the client.
Unless a specific requirement has been agreed in writing, creative decisions—including image placement, typography, colours, cropping, page composition and editorial styling—remain within our professional discretion.
Inspiration images may be used to communicate preferences, but we will not copy another designer’s work or guarantee an exact reproduction of a reference design.
9. Written content
Where professionally written articles, captions or editorial text are included, they will be created from the information you provide.
You are responsible for checking the accuracy of all facts, names, dates, quotations and personal details during proofing. We may make reasonable editorial changes for clarity, grammar, tone and layout while preserving the intended meaning.
10. Revisions
Your selected package includes the number of revision rounds specified on our website or in your written quote.
A revision round means one consolidated list of requested changes submitted after reviewing a proof. To help keep the project on schedule, revision requests should be:
• provided together rather than across multiple messages;
• clear and specific; and
• submitted by the stated review deadline.
Unused revision rounds have no cash value.
Additional revisions, substantial changes to previously approved work, replacement of large numbers of photographs, new written content or changes to the original scope may incur an additional charge. We will advise you before undertaking chargeable work.
11. Proof approval
You will receive a digital proof before printing. It is your responsibility to carefully check every page, including:
• spelling and grammar;
• names and dates;
• photographs and captions;
• page order;
• cropping and image placement; and
• all other content and design details.
Printing will not begin until you provide final written approval and the outstanding balance has been paid.
Once final approval has been provided, changes cannot normally be made. If a reprint is required because of an error that appeared in the approved proof, the client will be responsible for the reprinting and delivery costs.
If the final printed magazine differs materially from the approved proof because of our error or a production defect, please contact us promptly so we can assess an appropriate remedy.
12. Printing and colour variation
Printed colours may vary slightly from colours displayed on phones, tablets and computer monitors. Minor differences in colour, trimming, alignment, binding and paper appearance can also occur during commercial printing.
These ordinary production variations are not generally considered defects. This does not affect your rights where the final product has a genuine fault or does not substantially match the approved design.
13. Turnaround times
Any turnaround period shown on our website or provided in correspondence is an estimate unless we expressly agree to a fixed completion date in writing.
Turnaround begins after all required content, questionnaire responses and initial payments have been received.
Delays may occur if:
• content or feedback is provided late;
• substantial changes are requested;
• approval or payment is delayed;
• a printer, courier or supplier experiences disruption; or
• circumstances outside our reasonable control arise.
We will keep you informed of any significant delay.
14. Delivery
Your order will be delivered to the address you provide. You are responsible for checking that the delivery details are accurate before printing.
Estimated delivery dates are not guaranteed. We are not responsible for delays caused by postal or courier services outside our reasonable control, but we will provide reasonable assistance if an order is delayed, lost or damaged in transit.
Please notify us promptly if your magazine arrives damaged and retain the packaging and photographs of the damage so we can raise the matter with the printer or courier.
Additional or international delivery charges may apply and will be disclosed before payment.
15. Additional copies
Additional printed copies may be ordered subject to current pricing, printer availability and any minimum-order requirements.
Later reprints may have minor differences in paper, colour or production compared with the original print run. We cannot guarantee that project files or identical printing specifications will remain available indefinitely.
16. Client cancellations
If you cancel after your booking is confirmed:
• the booking deposit may be retained as described in clause 3;
• you must pay for work already completed and any non-recoverable costs incurred on your behalf; and
• any refund of amounts paid above those reasonable costs will be calculated according to the stage reached when cancellation occurs.
We will provide an itemised explanation of any additional amount claimed.
Because each edition is personalised and design time is specifically reserved, completed design work and approved personalised printed products cannot generally be resold or transferred to another customer.
17. Rescheduling and project inactivity
If your event changes or you need additional time, please contact us as soon as possible. We will make reasonable efforts to reschedule your project, subject to availability.
If you do not provide required content, feedback or approval for 60 days after we request it, we may place the project on hold.
If the project remains inactive for 90 days, we may close it after giving you written notice. Restarting a closed project may require a new timeline, updated pricing or rebooking fee reflecting the additional administration involved.
18. Cancellation by us
We may suspend or cancel a project if:
• payments remain overdue;
• required content or approvals are not provided;
• supplied material is unlawful, abusive, discriminatory or infringes another person’s rights;
• the client behaves abusively or unreasonably; or
• continuing the project would be unlawful or impractical.
If we cancel for reasons unrelated to your conduct or breach, we will refund amounts paid for work not provided.
19. Intellectual property in the design
You retain ownership of the original content you supply.
The Printed Edition retains copyright and intellectual property rights in original layouts, graphic treatments, templates, design systems and other creative work produced by us, except where otherwise agreed in writing.
Your purchase allows you to enjoy and share the printed magazines for personal use. You must not reproduce, resell, commercially distribute or adapt our designs without written permission.
Any third-party fonts, graphics, stock images or other licensed elements remain subject to their applicable licence terms.
20. Australian Consumer Law
Our goods and services come with guarantees that cannot be excluded under the Australian Consumer Law.
Nothing in these Booking Terms excludes, restricts or modifies any consumer guarantee, right or remedy that cannot lawfully be excluded, restricted or modified.
Where permitted by law, we are not responsible for indirect or consequential loss that was not reasonably foreseeable. Any limitation in these terms applies only to the extent permitted by law.
21. Events outside our control
Neither party will be responsible for a delay caused by circumstances outside their reasonable control, including natural disasters, serious illness, power or internet outages, industrial action, printing disruption, transport interruption or supplier failure.
The affected party must notify the other as soon as reasonably possible and take reasonable steps to minimise the delay.
22. Changes to these terms
The terms applying to your project are those accepted when your booking is confirmed. We may update the terms displayed on our website from time to time, but later changes will not retrospectively alter an existing confirmed booking unless agreed by both parties.
23.Governing law
These Booking Terms are governed by the laws of Queensland, Australia. The parties submit to the courts and tribunals having jurisdiction in Queensland.

The Printed Edition respects your privacy and understands that the photographs, memories and personal stories entrusted to us may be especially meaningful.

Some projects, particularly memorial tributes and family histories, may contain sensitive or deeply personal information.
Please provide only information that is reasonably necessary for your edition and that you are authorised to share. If you provide information about another person, you confirm that you have their permission or another lawful basis to do so.
Where photographs or personal information relate to a child, the person providing the material must be the child’s parent or legal guardian or have appropriate permission from them.
3. How we collect information
We may collect information:
• directly from you through our website forms, questionnaires, emails, telephone conversations and meetings;
• when you upload photographs or documents through a link or cloud-storage service;
• when you make a payment;
• from someone authorised to act for you;
• from a referrer, photographer or other person who introduces you to us; and
• automatically through cookies and similar website technologies.
4. Why we collect and use information
We may use personal information to:
• respond to enquiries and check project availability;
• prepare quotes and confirm bookings;
• design, write, proof, print and deliver your edition;
• communicate with you about your project;
• process payments and maintain business records;
• arrange printing, delivery and other services;
• provide customer support and resolve concerns;
• improve our website, services and customer experience;
• comply with legal, tax, accounting and regulatory obligations;
• protect our legal rights and prevent fraud or misuse; and
• send marketing communications where you have consented or where otherwise permitted by law.
We will not use your photographs, stories or completed edition for advertising, social media or portfolio purposes without obtaining separate permission.
5. Marketing communications
If you subscribe to updates or agree to receive marketing, we may send you occasional information about our services, products or promotions.
You can unsubscribe at any time by using the unsubscribe link in the message or contacting us at info@theprintededition.com.
Unsubscribing from marketing will not prevent us from sending communications necessary to complete an existing booking or order.
6. When we may disclose information
We may disclose relevant information to trusted third parties who help us operate our business and complete your project, including:
• website hosting and form providers, including Wix;
• cloud-storage and file-transfer providers;
• email and communication providers;
• payment processors;
• professional printing and production suppliers;
• postal, freight and courier providers;
• information technology and security providers;
• accountants, insurers, legal advisers and other professional advisers; and
• government authorities where disclosure is required or authorised by law.
We disclose only the information reasonably necessary for the provider to perform its role.
We do not sell or rent your personal information.
7. Overseas storage and disclosure
Some technology, website, cloud-storage, payment and communication providers may store or process information outside Australia.
Depending on the providers used at the relevant time, information may be processed in the United States and other countries in which those providers or their service partners operate.
Privacy laws in those countries may differ from Australian privacy laws. Where appropriate, we take reasonable steps to select reputable providers and protect information handled on our behalf.
You may contact us if you would like further information about the service providers currently used and the locations in which they process information.
8. Storage and security
We may store information electronically through our website platform, email systems, cloud-storage accounts, business devices and project-management records.
We take reasonable administrative, technical and physical measures to protect personal information against loss, misuse, interference and unauthorised access, modification or disclosure.
However, no internet transmission or storage system can be guaranteed to be completely secure. Please contact us promptly if you believe information supplied to us has been compromised.
9. Retention and deletion
We retain personal information and project material only for as long as reasonably necessary to:
• complete your edition and provide requested reprints;
• maintain business, accounting and legal records;
• respond to questions or disputes; and
• meet legal obligations.
Project photographs and working design files will generally be retained for 24 months after final delivery unless a longer period is agreed or required by law.
After the applicable retention period, we may securely delete or de-identify material. If you would like project files deleted earlier, please contact us. We will consider the request subject to legal, accounting, backup and legitimate business requirements.
We recommend that clients retain their own copies of all original photographs and documents. The Printed Edition should not be relied upon as the sole storage or archive for your files.
10. Cookies and website analytics
Our website may use cookies and similar technologies to:
• enable essential website functions;
• remember visitor preferences;
• understand how visitors use the website;
• monitor website performance; and
• support marketing or advertising features where enabled.
